We recommend arriving a few minutes early (up to 10 minutes) for your first appointment to ensure all paperwork is complete. Bring along your insurance information and a list of any medications you are currently taking. If you are currently wearing or have tried any oral appliance, please bring that appliance with you to your appointment. This preparation helps us provide you with the best care possible and ensures a smooth experience during your visit.

What to Expect on Your First Visit

At Epic Dentistry, we understand that your first visit can be a mix of excitement and apprehension. Our goal is to make you feel comfortable and informed every step of the way. Here’s what you can expect during your initial appointment.
  • What should I bring to my first appointment?

    Please bring your insurance information, a valid ID, and any medical records relevant to your dental health (to include prior imaging, sleep test results, etc). This will help us provide you with the best care possible. Additionally, if you are currently wearing or have tried any oral appliance, please bring that appliance with you to your appointment.

  • How long will my first visit take?

    If you are coming in for a first-time hygiene appointment, we reserve a full 90 minutes of our time to include an exam, thorough cleaning, oral cancer screening, x-rays, and time with Dr. Caulfield. 


    Other appointment types vary by need. When scheduling the appointment, our care team will confirm how much time has been reserved with Doctor based on the specific services you are coming in for.

  • How can I prepare for my first visit?

    To prepare, ensure you have all necessary documents ready, and consider writing down any questions or concerns you want to discuss with our team. 


    All new patients are asked to complete new patient paperwork at least 2 days prior to your reserved appointment. If you plan to use insurance, this gives our team adequate time to perform a courtesy estimate of your coverage and benefits before your visit.


    Prior to your appointment, please request any dental and/or medical providers you have seen to send relevant records and imaging. This may include sleep studies, MRI’s and CT Scans. They may send this to our encrypted email address info@myepicsmile.com.


    If you are coming in for a bite assessment or adjustment work, it is It is helpful to avoid any pain medications the day of your appointment. If needed, we have over-the-counter meds that may be taken after your exam to alleviate pain. TENS patients should come in make-up/lotion free; and men neatly trimmed or shaved.


    RETURN PATIENTS: Have you had changes to your benefits? It can expedite your visit if you provide new insurance cards prior to your scheduled appointment time. 


  • What forms of payment do you accept?

    We collect payment in full at the time of visit to include any deductible, estimated co-payment, and un-covered amount. For your convenience we accept: Cash, Check, Visa, MasterCard, and Discover. Our self-pay patients (i.e., no claim filing) when paying cash or check will receive a 5% discount off usual and customary fees. 


    Prior to commencing treatment, payment plans and financing arrangements can be made for larger dental treatments. For your convenience outside financing is also available, through CareCredit.

  • What insurance carriers do you work with?

    The short answer is, we will work with any insurance carrier who will work with us! Many carriers give you the option to work with the Dentist of your choice; you can validate that with a simple call to the customer service number on your card.


    As a courtesy we will be glad to estimate your coverage and file your claim when valid insurance is provided a minimum of 48 hours prior to your visit. Any uninsured portion not covered by your insurance plan will be collected at the time of service.


    For patients with no insurance, we offer an in-house dental care plan. Ask about our EPIC CHOICE plans for full preventative coverage and discounted care.

  • Will I receive a treatment plan?

    Yes, after your examination, we will provide you with a personalized treatment plan that outlines any recommended procedures and their associated costs. A care team member will review these treatment options with you and schedule follow-on appointments as needed.

  • Is Epic Dentistry more expensive?

    Not at all. Our fees are competitive with other high-quality dental practices in the area. A cleaning is still just a cleaning—but what sets us apart is how we look at your oral health. Our team brings advanced training in airway, sleep, and TMJ to every patient interaction, so we’re not just checking boxes—we’re looking deeper for signs that could impact your long-term health.


    You’re not paying more for every visit—you’re gaining the benefit of a more comprehensive, informed approach. That means fewer surprises down the road, more personalized care, and better outcomes overall.

  • What if I have dental anxiety?

    We understand that dental anxiety is common. Our team is here to support you and can discuss options to help you feel more at ease during your visit.

  • What are your health & safety guidelines?

    We take our responsibility for infectious control mitigation very seriously and follow the latest in guidelines from the CDC, ADA, and local jurisdiction.


    If you have run a fever in the past 72 hours, have flu-like symptoms, or have traveled in the last 14 days, please inform us prior to your visit and we will reschedule you appropriately.

  • What if I have to cancel or reschedule?

    Should you need to cancel or reschedule an appointment, simply call our office at least 2 business days before your reserved time and we will take care of your request.


    Appointment times are reserved exclusively for you. Please understand that when you forget, cancel, or move your appointment without adequate notice, we miss the opportunity to fill that appointment time, and patients on our waiting list miss the opportunity to receive services. Since the time has been reserved for you personally, a cancellation fee of $55 will be charged to your card on file for any appointment missed, cancelled, or changed with less than 48-hours notice. As a courtesy, we send timely appointment reminders giving you the option to confirm your appointment; respond back with a request to change/modify your appointment; or call the office to reschedule your appointment.

  • Transportation from DIA

    Denver International Airport is about 45–60 minutes from our office, depending on traffic. The most convenient options for getting to Littleton include ride-sharing services like Uber or Lyft, rental cars, or private car services. While public transit is available via the RTD light rail and bus system, it may require transfers and additional travel time, so we generally recommend a direct option for ease and comfort.
